  1. Booking Confirmation

To confirm your event booking with YEP, we require:

  • A 50% advance payment on the total quoted amount.
  • A signed agreement/confirmation email accepting our quotation and terms.

Until the advance is received, the event date and related services will not be reserved or confirmed.

  1. Payment Terms
  • The remaining 50% balance must be paid before the commencement of the event.
  • The event setup and execution will not begin unless the full payment is received.

We strongly recommend clearing all dues at least 24 hours before the scheduled event start time to ensure smooth operations.

  1. Mode of Payment
  • Payments can be made via bank transfer, UPI, cheque (subject to clearance), or cash. In case of Cheque payment the payment must be made 3 working days prior to the date of event.
  • All payment details will be provided on the invoice.
  • GST will be charged extra on the amount of total quotation.
  1. Cancellations & Refund Policy
  • In case of cancellation by the client:
    • More than 30 days before event: 80% of the advance will be refunded.
    • 15–30 days before event: 50% of the advance will be refunded.
    • Less than 15 days before event: Advance is non-refundable due to planning, blocking of vendors, and team arrangements.
  • In case of cancellation or postponement due to natural calamities, government restrictions, or other force majeure events, YEP will offer a credit note valid for 6 months, subject to availability of the new date.
  1. Change in Scope

Any changes or additions requested after confirmation (venue, number of guests, services, etc.) will:

  • Be considered subject to feasibility.
  • Be chargeable as per updated quotation.
  • Require written approval and possibly additional payment before implementation.
  1. Vendor Coordination

YEP may work with in-house or third-party vendors. All vendor arrangements managed by YEP are our responsibility. However:

  • If a client brings their own vendor, YEP will not be liable for any delays or quality issues arising from their end.
  • In case of any damage caused to the YEP vendors from the vendors brought by the client, entire claim shall be the responsibility of the client.
  • Final approvals (like design, music, layout, etc.) should be given by the client within defined timelines to avoid delays.
  1. Event Execution
  • Our team will arrive at the venue based on mutually agreed setup time.
  • We expect full cooperation from venue authorities and the client’s side.
  • Any delays due to non-clearance of payments or lack of approvals may affect the final output. YEP is not responsible for such situations.
  1. Liability

YEP ensures the best quality service but will not be held responsible for:

  • Delays or failures caused by third-party vendors not booked through YEP.
  • Natural calamities, technical failures, or any uncontrollable circumstances.
  1. Confidentiality

All client information, concepts, and plans discussed will be treated confidentially and will not be shared with any external party without written consent.

  1. Dispute Resolution

Any disputes arising shall be attempted to resolve amicably. If unresolved, the matter shall be under the jurisdiction of courts in Gurgaon, Haryana.
